Dear Dr. Ochsenbein,

as you may see from the attached e-mail we have been requested by A&A
to submit data to the CDS. In the links to CDS we have not found
instructions on how to submit data cube, so we intend to submit two
types of data only:

-- single-point spectra
-- maps of spectral line integrated intensity

We then have a few questions:

-- the single-point spectra must be submitted as individual FITS
files? Is there a naming convention for these files?
-- I guess a single ReadMe file should accompany all these FITS files?
-- The same questions apply to the maps in FITS format of the
integrated intensity of several spectral lines, toward several
sources. Naming convention for the files, and content of the ReadMe
file.
-- For the maps we have an additional question. Since there is no easy
way to include information about the NOISE in the maps (unless making
noise maps, which would be too time-consuming at this point), we were
thinking of including this info as text in the ReadMe file.

Guidelines for the electronic distribution of data published in A&A





1. Annotation in the paper

________________________





A footnote to the title or to the abstract should clearly indicate

which material will be available in electronic form with a sentence

such as "Tables n and n' are only available in electronic form

at the CDS via anonymous ftp to cdsarc.u-strasbg.fr (130.79.128.5)

or via http://cdsweb.u-strasbg.fr/cgi-bin/qcat?J/A+A/





2. Preparation of the data :

The tables are basically distributed in ASCII format; TeX/LaTeX

or FITS are acceptable, the ASCII version being generated from

TeX/LaTeX or FITS.

Please note that the tables should keep the same numbering as in

the paper. For tables published in electronic form only, remember

that the tables need not be split into small pieces adapted to

the paper width or height: a single table containing 50 columns is

easier to manage than a set of five 10-column tables containing each

a subset of the parameter space.





3. Preparation of the Introduction (ReadMe) file

This file should accompany the data and must be written on less than

80 character lines. It includes a short description of the tabular

material with:

- the reference number of the paper

- the title of the paper

- the author(s)

- the name of the journal, year, volume and first page (to be

completed by the Editors, if necessary)

- the key words of the paper (taken from the A&A list)

- a clear description of the tables and their columns (with notes,

references...)

4. Submission of the data :

Dear Colleague,

Thank you for your message; in all cases yes, a single ReadMe
file is enough, hopefully :-)

There are not specific details about FITS files in the instructions,
this format being (in principle) well known by our community. 
Therefore the data cube should be OK -- provided it's standard FITS.

There are several data cubes already stored at the CDS, see e.g. the
list at    http://vizier.u-strasbg.fr/vizier//cats/M.htx
where the links point to the vizier entry (and from there a 
"ReadMe+ftp" link points to the ReadMe file). The bottom 2 examples
relate to a single FITS data cube (J/A+A/531/A173) and to a set 
of 6 FITS data cubes (J/A+A/533/A17). In this last case (several
FITS files), we add a small table containing the basic elements required
to estimate the location and resolution in the space/wavelength domain
of the data files.

And about the details in the ReadMe -- anyway minimal details about
the noise level _are_ useful !

I hope these short explanation can help, and that the preparation
will not require too much of your time.
